As a result, work was being duplicated, follow-ups were missed, and valuable context was lost. The team struggled to identify which types of companies were responding, which messages were resonating, and where to focus their efforts next. Without shared visibility, outreach felt busy but directionless. At the same time, prospect research itself was time-consuming and inconsistent. Identifying companies that genuinely aligned with The 80Four’s ideal clients required manual searching, subjective judgement, and repeated effort — all without a reliable way to capture insights or measure success over time. The agency didn’t need more activity. It needed a clear, shared system that could align the team, surface the right prospects, and turn outreach into a repeatable, measurable growth engine.

Every potential client, interaction, and outcome lived in one place, giving the team immediate visibility into who had been contacted, what stage each relationship was at, and what was working. To address the biggest time drain — prospect identification — we then layered in a tailored AI workflow. We designed a structured brand profile, capturing The 80Four’s positioning, voice, goals, and ideal client characteristics in a way that could be reliably interpreted by AI. This ensured prospecting decisions were grounded in strategy, not guesswork. We then designed, tested and implemented carefully written instructions for Notion AI, so it could read this brand context, search the web, and surface potential prospects aligned with their target ICPs. Instead of starting from a blank page, the team received an on-demand, curated list of relevant companies directly inside the dashboard, ready to be reviewed, contacted, and tracked. However, we then layered additional customisation to the Notion agent. By carefully defining the brand voice and providing examples of previous outreach, we reduced the team's workload further. On researching potential prospects, we also instructed Notion AI to write carefully crafted email drafts that highlighted specific pain points, potentially suitable offers, and additional information where relevant. This allowed the growing marketing agency to quickly move from scattered, manual prospecting to confident, high-quality outreach at scale. The team could contact more of the right brands, with personalised messaging, in a fraction of the time, while maintaining a consistent voice and clear visibility into what was working.
